Accommodation

Rooms have been pre-booked for participants near the International Conference Centre. Rates indicated below have been especially negotiated for the Congress. They are quoted in Euros (€) and are per night and per room including Belgian VAT. All nights must be prepaid in advance. The amount corresponding to your entire stay will be charged upon reservation and will be automatically deducted from the total amount of your hotel bill at check out.
“No Shows” on the first night will automatically cancel the entire reservation and involve the loss of the entire prepayment. If you shorten your stay, no refund will be made of the cancelled pre-paid room nights.

Confirmation

Upon receipt of your hotel reservation request, MCI will send you an invoice/confirmation letter summarising accommodation details and specifying payment status.

It came to our attention that some companies are presenting themselves toward all our confirmed or potential exhibitors and sponsors as an official organizer or contractor to us for the AEGPL 2012 CONGRESS AND EXHIBITION. This is fake.

These companies are not reliable and have no contract with either AEGPL or MCI.
Please disregard the message you may receive from them.
If you deal with these companies, you will do it under your own responsibility and none of the event organizers can be held reliable.

Cancellation conditions

Cancellations must be notified in writing to the Congress Secretariat and are subject to the following conditions:

For registration:

  • For cancellations received up to March 30th 2012: 100€ will be withheld for administration fees.
  • For cancellations received from March 31st 2012: no refunds will be provided.
For accommodation:
  • For cancellations received up to March 9th 2012, 100€ will be withheld for administration fees.
  • For cancellations received from March 10th 2012, no refunds will be provided.

For any question on accommodation, please visit the Onsite Registration Desk in the Registration Area.

Please remember:
  • All guests will be responsible for their own accommodation and incidental charges or taxes are to be settled upon departure from the hotel.
  • "No shows" on the first night will automatically cancel the entire reservation and involve the loss of the entire deposit. If you shorten your stay, hotels reserve the right to charge you for the balance of your stay.
